How To Book Freight With The Online System

Please find below an explanation of how to fill out our Freight Booking Form to ensure all deliveries are carried out with the correct information to support them.

1. Freight paid by

This needs to be completed with the correct name; receiver or blank is not sufficient. For bookings made with the incorrect name and later a credit is requested; there will be a $5.00 administration fee.

2. Product Quantities:

This needs to be either Pallets or Cartons – NOT BOTH. There are different charge rates and if you are booking in pallets you probably don’t want to be charged per carton!

Cartons are considered a pallet when there are 10 or more cartons in one delivery.

Please be aware we are accountable for pallet or carton count only. We are not responsible for specifics of quantities ordered.

3. Hand Unload

Deliveries will be to store or dock only. Due to insurance restrictions as well as time allowed we are unable to load or rotate stock on shelves.
Your assistance with hand unload procedure is both required and appreciated, as it ensures the safety of your product.
Hand unload fees will be charged in addition when either the collection or delivery point has no forklift.

4. Pallet Heights

Standard pallet height is 1.2 metres. While all care will be taken; should you choose to require transport for higher pallets, Gaby Cool Transport will not be responsible or liable for any damage which could or may occur.

5. Pallet Weights

The maximum weight for a pallet is 1 tonne. There is no room for error. Overweight vehicles are dangerous and illegal. The repercussions are endless and for the sake of an extra pallet freight charge, just not worth it.

6. Names & Addresses (for both pick up’s and deliveries)

We do need the full company name, abbreviations are not enough. We have up to seven different organizations with the same initials! The extra 20 seconds it takes to complete this information ensures that we either pick up or deliver to the correct place. Our database is getting quite extensive and we feel confident that we have almost everybody’s address; for deliveries that happen on a regular basis we will have their address, as long as you specify the suburb we will be able to identify them.

7. Freight Booked in by 4pm

We need to receive your fax by 4pm the day prior for your freight booking. It takes hours to organize the next day’s freight and we need to have a cut off time for when we can start. For all freight bookings sent in after this time, they will be considered Same Day Freight and while we will do our best; there can be no guarantee for Same Day Service.
(Note: The fee for same day booking is $5.00)

8. Collection of Monies

We are unable to accept the responsibility of collecting money on your behalf, for your goods. This is between you and your customer.
We will collect our payment (COD) at the time of delivery if the delivery customer does not have an account with us. Please discuss this with your customer. If your customer does not have an account with us and would like to; have them contact us and we will be more than happy to organize this.

9. Multiple Deliveries

If you have multiple deliveries, we have a freight booking form to make this easier for you. Please contact the office on 07-5598-4400 and we will organize one to be sent out.

10. Northern Rivers Deliveries

For Deliveries going to Northern Rivers (Byron Bay, Ballina, Lismore, Casino and Grafton) we collect these the day prior. This is to ensure that our customers in these regions are receiving their delivery within their business hours. These deliveries are stored in our freezer or chiller overnight. Should you have problems with bookings these early, please contact me so we can organize a plan that will work for all parties concerned.

11. Delivery Days

  • Brisbane and Gold Coast Daily Service
  • Sunshine Coast (up to Nambour) – Mondays and Wednesdays
  • Toowoomba – Monday to Thursday (Friday if quantities available)
  • Mount Tamborine – Thursday
  • Northern Rivers to Byron Bay, Ballina, Lismore, Casino and Grafton – Monday, Tuesday, Thursday and Friday

12. Time Slots

When possible Customers are to book time slots for deliveries into major warehouses and are to notify Gaby Cool Transport Pty Ltd at time of booking by entering the Time slot information on our Booking Form.

Time slots will only be excepted for:

  • Woolworths
  • Coles / GHPL
  • Burleigh Marr, Morningside
  • QFFS
  • Conga Foods
  • PFD Lytton

Please ensure this information is given to the relevant people, make their job easier and ours.
